- Double check you haven't included unintended recipient/s in your emails
- Check that spreadsheets don't contain information which isn't appropriate for
all recipients you are circulating it to
We’ve recently had a few more incidents where emails containing personal data
or University business have been sent to students in error, and spreadsheets
containing data about students and colleagues have been circulated
inappropriately to everyone whose information was included.
Before you hit ‘send’, take a few seconds to hover your cursor over all the
email addresses in the ‘To’ field of any email containing confidential
information to ensure it’s just being sent to your intended recipients.
Where possible, personal data should be shared internally using SharePoint. If
you have to email it, ensure it's adequately protected via a password or
encryption – or both!
With regards to spreadsheets or reports containing multiple individuals' data, consider
if it is necessary to contact individuals separately rather than circulate an
entire spreadsheet.
