Conference Calls

 

You can make and receive conference calls either by reserving a Conference Phone or using your own handsets.  Please note although the 7911 has the ability to make conference calls there is no speaker phone on the handset.  

 

Frequently Asked Questions

 

Q:  How do I book a conference phone?

A:  You can book a conference phone by completing the online Conference Form.

 

Q:  Can I have multiple external incoming calls on a conference call?

A:  YES - however, you MUST inform Information Services PRIOR to making the call as some central settings need to be changed. If you do not do this, the conference call will NOT work. Once you have done this, follow the process below:

 

To make the conference call:

 

  Step 1: 1st incoming call - press Answer, then click More until you see the Join softkey, press the Join softkey.


  Step 2:  2nd incoming call - click More until you see the Answer softkey, press the Answer softkey.  Then click More until you see the Join sofkey, press the Join softkey.  You will see "Conference" displayed on the screen.


  Step 3:  3rd incoming call - click More until you see the Answer softkey, press the Answer softkey.  Then click More until you see the Join softkey, press the Join softkey, you will see a tick next to the 3rd incoming call.  Use the Up/Down arrow keys to select "Conference" on the screen, click Join.

 

To add any additional callers, follow step 3 above.


IMPORTANT
Once you are finished your conference call, you MUST do the following:
  1. Ensure you are the LAST person in the conference to hang-up otherwise the other callers will remain in the conference
  2. Inform Information Services of the end of the call to allow us to reset your account back to normal.

 

Q:  Do I need a special phone to make a conference call?

A:  No, you can make a conference call from your normal IPT handset. Alternatively you can book a 7937 or 8831 IPT Conference Phone by contacting the IS Service Desk:

Q:  Is my department charged for the rental of the 7937 or 8831 IPT Conference Phones?

A:  No, there is no extra charge. This is an extra service that Information Services - IT provide to Edinburgh Napier University staff free of charge.

 

Q:  Can I make conference calls from meeting rooms?

A:  Yes.  You can book a 7937 or 8831 IPT Conference Phone via the Conference Phone online form.

Q:  How many callers can I have on one conference call?
A:
  You can have a maximum of 8 people on a conference call at one time including yourself (external and internal).
 

Q:  Can the external caller be from overseas?

A:  Yes.  If you are making the conference call then you must ensure that the line you are making the call from has international dialling. This can be checked by contacting the IS Service Desk prior to the conference call:

Q:  Will a conference call cost more than a normal call?

A:  No, the call will be charged at the same rate as a normal call to the destination (e.g. if you are calling abroad, the call will be charged at the rate for international calls, if it is all internal callers, the call will be free).

 

Q:  How do I make a conference call?

A:  For instructions on how to make and receive conference calls on the IPT Conference Phone and IPT handsets please refer to the Online Training section below and the Reference Guides section below.

 

Q: What is the Meet-Me feature?

A:  The Meet-Me feature (only available using the conference phones - model 7937) allows you to provide a specific extension number for others to dial to join a conference call. Once they dial the number, they will immediately be connected to your conference.

  • On the handset, go off-hook and press the Meet-Me softkey button from your phone.
  •  Press the More softkey once in order to reach this Meet-Me.
  • After you press the Meet-Me button, dial the conference number that you want to join.
  • Everyone who dials the same Meet-Me number joins the conference together.

 

The meet Me numbers are  3810, 3811, 3812, 3813, 3814 & 3815
**For externals to join the conference, they need to prefix the numbers above with 0131 455**

The online training will help you get started with the Cisco 7937 Conference Phone (open the training and select 7937).  The training also explains how to make conference calls from the 7942/7962 and the 7911 handsets (open the training, select the relevant handset, click Call Functions and select Conference Calls):
