​​​Booking a Room

 

IMPORTANT UPDATE: The University implemented a new advance booking system called Resource Booker.  Staff and students should book a room, lab, PV or other equipment by using the following link: https://resourcebooker.napier.ac.uk/​​​


  
 

​​Weekday Bookings 8am-5pm

For all bookings of classrooms, lecture theatres or meeting rooms during these core university hours, please book using the online self-service portal Resource Booker


Any teas, coffees or lunches required should be booked online through the online hospitality systemPlease note a minimum of 72 working hours' notice is required for catering. 


All rooms come with screens, drive access for internal staff and students, and connectivity. Any further AV equipment requirements can be requested by contacting the on isservicedesk@napier.ac.uk.


If you have specific room layout or set up requirements, please contact the Facilities Service Desk on facilitiesservicedesk@napier.ac.uk. Please note minimum of 72 working hours’ notice is required for set up.


Visitor car parking can be booked using the online self-service portal Resource Booker​


Weekend and Evening Bookings


For weekend and evening bookings of classrooms, meeting rooms or lecture theatres at any campus, please contact the Catering & Events Team on conferences@napier.ac.uk. Please note, no catering is available to book via the online hospitality system after 4pm or on weekends. To discuss weekend or evening catering options, please contact the Catering & Events Team on conferences@napier.ac.uk.


Booking Dedicated Event Spaces 


For any bookings in the University’s dedicated events spaces (The Rivers Suite and Chapel at Craiglockhart, the Glassroom at Merchiston and the Horizon Suite (LRC5) at Sighthill) please contact the Edinburgh Napier University Conference and Events team on conferences@napier.ac.uk who will assist.
 
Please note minimum numbers of 25 apply as standard to these spaces.

The Rivers Suite and Chapel are the only dedicated conference space available year-round as, with the full return of staff and students, some event space has been re-purposed to be used as teaching space, limiting it’s availability to book for events. This currently includes the Glassroom at Merchiston and the Horizon Suite (LRC5) at Sighthill.

Please use discretion in booking these spaces, as availability is limited. We want to ensure that they are utilised for the most appropriate bookings to enhance University research, reputation and commercial goals so if the space you have requested is already booked but you feel is the only space suitable for your event, then please advise the Conference and Events team providing as much information as possible and your request will be escalated to see if bookings can be moved to facilitate your request.

Advanced Booking Process


The Rivers Suite and Chapel can be booked year-round via the Conference Office.  Booking requests for teaching spaces including classrooms, lecture theatres and any event space designated for teaching activities can currently only be reserved in line with the timetabling process.

General teaching space, specialist spaces, meeting rooms as well as other spaces can be booked by staff directly via Resource Booker.

The Module Timetable is published as follows. Details of the exact publication dates for the relevant academic year can be found on the timetabling intranet page.

International Conference Bookings


For key or international conference bookings which require to be booked and organised in advance of the published timetabling dates above, please complete the Early Booking Process Form_1_.pdf and send it to the conference and events office who will assist and advise with the approvals process.​

The following parameters must be met to qualify to book via the early booking process:

  • Dates out with Trimester weeks should have been considered and discounted prior to request being made
  • Conference should not be detrimental to teaching or examination activities (Trimester 3 preferred for conference events)
  • Conference should include international/national speakers and participants
  • Conference should contribute or be connected to ENU academic/research activities

Request Deadlines

Submitting requests for the following deadlines will allow us to schedule your event alongside the draft timetable, ensuring there is minimal disruption to learning and teaching activities:

  • Requests for trimester 1 should be submitted by the end of the preceding April.
  • Requests for trimester 2 and 3 should be submitted by the end of the preceding October.​
If you submit your request after the agreed deadline, they will be considered on a case-by-case basis as teaching may already have been allocated to your requested space.
