MyTimetable update

Description

Thank you to everyone who is contributing towards the myTimetable project.

Phase 1: individualised timetables

The myTimetable project continues to make good progress towards its phase 1 goal of delivering individualised timetables for our students in 2017/18.

Colleagues from the School Support Service, Information Services and DLTE are working collaboratively with academic staff from all six schools to construct new timetables for the first time in a number of years. This approach builds a strong foundation for future developments, but does mean more effort this year, including requests for new and revised information.

All teaching information for Trimester 1 has been gathered and entered into the timetabling system and the process of scheduling the module timetable has now started.

The draft module timetable will be ready for academic leads to review on the 26 June. The Project team along with DLTE will run sessions for each school to answer any questions on this review between the 26 June and 7 July.  The module timetable will be published to students in mid-July, exactly the same as students currently receive each year.  After this is published there will be no further changes to the module timetable, other than to accommodate changes in actual student numbers in August.

The final stage of the process will be to add students to teaching activities to produce an individual timetable which will be delivered to our students in September at the start of trimester.  To achieve this students will be allocated to teaching activities automatically for the first time.  If there are any pedagogical reasons for this not to be the case, please raise these with the academic lead by the end of June.

Phase 2: Annualised timetables

The myTimetable project plan committed us to delivering annualised timetables in AY 2018/19, which would have required us to have a full year timetable prepared by May 2018.  Having considered a number of factors, ULT have accepted a recommendation from the myTimetable Project Board that the next phase be rescheduled to deliver in academic year 2019/20.   One of the key factors taken into account in this decision was feedback from academic and professional services staff about the pressure of delivering a number of change initiatives.   Rescheduling will ease pressure, whilst also allowing a number of timetabling-related changes to embed fully before moving to an annualised approach.
