Our staff Occupational Health Provider is changing
Important Information about your data and transfer of medical records.

The University offers all colleagues access to an Occupational Health (OH) Service which provides dedicated and knowledgeable work-related health support provided by a carefully selected external partner.


As our previous supplier contract was coming to an end, the HR team in conjunction with Procurement undertook a process to select a new provider. We’re delighted to now share that our current Employee Assistance Programme (EAP) supplier, MCL Medics, will now provide both Occupational Health (OH) and an Employee Assistance Programme (EAP) for ENU colleagues.


MCL Medics are a trusted provider with a partnership ethos that strongly aligns to the type of service we want to offer to our colleagues, and we hope we can maximise our offering by combining both our OH and EAP services with one provider.


We’re now in the transition and implementation process with MCL Medics. Your HR Services colleagues will be booking appointments and making new joiner referrals to MCL and anyone in need of assistance should reach out to their line manager or HR colleagues (humanresources@napier.ac.uk) as normal.


More information about MCL Medics' OH offerings and how you can benefit from them will be issued over the coming weeks. In the meantime, please ensure you review the information below regarding any medical records our previous provider may hold and what this means for your data.


Important Information about your data and transfer of medical records:

As part of the transition from one provider to another, there is a requirement for any medical records or information held on our employees to be transferred from Optima Health to MCL Medics. Please review the information below to understand what this means for you and your data.


The transfer of records will enable our occupational health and health surveillance programme to continue uninterrupted and allow MCL Medics to offer impartial medical advice to help staff and managers address any health issues which may impact on wellbeing at work. 


MCL Medics is fully compliant with the Data Protection Act and the Access to Medical Records and Reports Act.


You have a legal right to object to your occupational health records being transferred to MCL Medics. However, it is important to note that objecting to this transfer of occupational health records could prevent MCL Medics from providing you with a full range of occupational health services. Please be assured that any transfer will be undertaken in line with current ethical guidelines and in such a way as to ensure confidentiality at all times. Medical-in-confidence records will only be seen by the sending and receiving occupational health providers.


If you wish to object to the transfer of your occupational health records, please outline your objection in writing to humanresources@napier.ac.uk by Monday 30 January 2023.


If you object to the transfer of your medical records, they will be archived by our current supplier and retained on their systems as per the appropriate legal retention period.


If you do not contact us by Monday 30 January 2023, implied consent to the transfer will be assumed.
