​Matriculation Definition

 

Matriculation at Edinburgh Napier for new students should encompass the following processes:

  • The sending of appropriate welcome communications to both on and off campus applicants who hold an unconditional offer of a place at the university which they have firmly accepted.
  • The sending of matriculation emails advising these applicants of the process to be followed which will allow them to formally register as a student with Edinburgh Napier.
  • The password creation process which allows applicants to create their Edinburgh Napier password for access to all IT services.
  • The completion of the online matriculation process which enables these applicants to check and amend the information that we hold about them, to set up payment plans as appropriate, to formally agree to abide by the university regulations and therefore become a registered student with the university.
  • The ability for students to register for the password manager process and to complete the online Information Services induction.
  • Access to face to face Immigration and Finance checks that allow relevant students to complete payment of fees due/set up payment plans and to have their passport and visa checked for UK Border Agency purposes.
  • The distribution of ID cards to students who have completed all necessary administrative processes.
  • Completion of matriculation leads to enrolment on core modules, access to option modules and access to the modular information on Moodle.
  • Failure to matriculate leads to withdrawal of IT services and ultimately withdrawal from the programme and relevant reporting to any external agencies.

 

For students

 

Matriculation is the formal and administrative processes for an applicant to become a member of the university by meeting the university requirements to do so. It is the combination of a series of processes through which an applicant becomes current/registered at the university on a particular year of a particular programme for the appropriate academic session.

 

The processes are:

  • Creation of a university password which allows access to university services and actions required by applicants to access these online services.
  • Completion of the online matriculation process, including ensuring that the information contained in the task is accurate and up to date and payment of fees or the setting up of a payment plan if appropriate and the agreement to abide by the university regulations.
  • Registration for the password manager and completion of the online Information Services induction.
  • Satisfaction of any applicable Immigration and Finance requirements and attendance at any relevant face to face checks by students who are required to confirm payment of their fees and/or have their passport and visa checked.
  • Collection of the student ID card.

 

For staff

  • The preparation and sending of all welcome communications and matriculation emails.
  • The processes leading to the creation of a university password which allows access to university services and actions required by students to access these online services.
  • The online matriculation process, including making available and ensuring that the information contained in the task is accurate and reliable.
  • The password manager process and the completion of the online Information Services Induction by the student.
  • The processes required to run the Immigration and Finance checks and attendance at these checks by students who are required to confirm payment of their fees and/or have their passport and visa checked.
  • The processes required to produce the student ID cards and collection of the ID cards by students who have completed the online processes and attended the face to face checks where necessary.
  • The closing down of records of applicants who have not attended the university within the first three weeks of the trimester.
